E-Sign v.1.26.0

We deliver these releases to improve your experience and the value, functionality, and features of StaffCircle. 

This release update provides you with a brief, high level description of any new and updated features along with any bugs that have been fixed. 

The focus for this deployment is the addition of our integration with Signable, allowing you to utilise their document signing capability directly form the platform for both internal and external users.

E-Sign

We understand the importance of receiving employee acknowledgement and signature when policies and procedures change, when promotions and salary changes happen, and when a contract of employment might be updated. The new eSign feature within StaffCircle allows you to send documentation to employees and track whether the document has been signed for. In readiness for future features, you’re also able to send documents to external recipients, for example an applicant that has been successful for a role within your organisation and you’re sending them their contract and new starter documents.

 

Below are the key components to this new feature and an explanation of how you can access the capabilities.

 

INTEGRATION

To get started with eSign you need to install the integration in your platform by going to Settings>Integrations and selecting the Signable option. Once you’ve installed the integration, you’re provided with 10 free envelopes to get you started. An envelope is the wrapper around a set of documents. Like an email, you can attach one or several documents to the envelope and send this to one or a few signers and reviewers. You’re able to purchase more envelopes through your Billing & Usage section, which is detailed further down in these release notes.

After setting up your integration you’ll need to assign the ESIGN permission to the users you want to be able to send documentation for sign off. To do this go to Settings>Security & Data>select the Security Group you wish to update and toggle the ESIGN permission within Documents to ‘ON’ and you’re good to go!

 

DOCUMENTS

Now all you need to get going is to upload your documents! Firstly, if you need your document to be signed and not just reviewed, you’ll need to make sure your document has the signer tags included. An example of the signer tags can be seen below.

For each new signer you need, you can copy and paste the tags and replace the “1” with a “2” and so on.

Once you’ve got your document ready you can upload it to the eSign folder within the Settings mode and Integrations. Select to configure the Signable integration and click the “E-Sign Documents” folder. You can upload one or several documents that you’d like to be available when creating an envelope to send out for signature.

You’re now ready to send documents out for signature. To do this go into Manage mode and to People & Groups>E-SIGN (you can also select the eSign folder within individual employee records to send documents on an isolated level.)

Click the “Add” button and you’re presented with a panel to create your eSign envelope, select the document you need signing and who the recipient(s) will be.

Once the envelope has been sent, the first signer will receive an email to inform them that a document has been sent that they need to action. As soon as the first signer has added their signature and sent the document back, the next signer or reviewer will then receive their email notification to let them know that a document has been sent that they need to action.

When all parties have signed the document, the status will update in the E-SIGN tab within Manage>People & Groups to “signed” and the document is available as a pdf download.

It’s important to note that you can send documents to employee’s that already exist within your platform and after they’ve signed the document it will be available in their documents area. But you’re also able to send documents to external recipients of the platform and once signed the document will be available in your Company Documents folder.

 

BILLING & USAGE

When you use the 10 free envelopes provided once you’ve set up the eSign integration, we’ve updated the Billing & Usage area of the platform to make it easy to purchase additional envelopes.

Go into Settings and select Billing & Usage. You’ll see a new section has been added called “E-SIGN ENVELOPES”, this will give you a snapshot of how many envelopes you’ve currently got, how many you’ve sent, how many have been signed and how many have expired. To purchase more envelopes, click “BUY MORE ENVELOPES” and you’ll be able to select from four amounts of envelopes.

As soon as you confirm your envelope purchase, your available envelopes will increase, and we’ll send an email to our finance department letting them know to add the cost to your StaffCircle account.

Article Pinning

We have extended the options available when pinning an article to a feed. You can now extend this beyond 48 hours to 1 week, 2 weeks, 3 weeks and 4 weeks, as below.

9 Box Grid

The 9 Box Grid is an employee assessment tool that segments and plots employees across nine key data points. This grid-based approach provides a framework to assess an employee’s performance and enables success planning. The vertical axis indicates growth potential, and the horizontal axis represents an employee’s current performance. 

 

ENABLING 9 BOX

The 9 Box Feature requires switching on in your Beta Feature section of the platform. Super Admins can access Settings>Organization & Branding>Beta Features. You’ll see 9 Box Grid and a toggle to the far right, toggling this to ‘ON’ enables the feature within your platform.

Now 9 Box Grid has been turned on in the platform as an accessible feature, you’ll need to go to Settings>Objectives & Reviews>Review Settings and toggle on the option to include the 9 Box Grid feature within your reviews. Once the toggle is switched to ‘ON’ you’ll see the nine boxes appear and you can apply colour customisation and change the box title and description.

SETTING UP 9 BOX GRID REVIEWS

You’ll be familiar with creating Review Types and setting up questions to appear within the Reviews. The 9 Box Grid feature is 99% the same, the only difference is when creating a Review Type, you can decide whether the question’s score counts toward the 9 Box Grid score.

CONDUCTING A REVIEW WITH THE 9 BOX GRID & THE DASHBOARD 

Now you’ve set everything up, you can conduct a Review as you normally would by selecting Manage>Objectives & Reviews>Reviews and creating a new Review or go to Manage>People & Groups>Select Employee>Reviews and add a new Review directly to their record. Once the review has been completed, you’ll notice your 9 Box Grid Dashboard has updated within Manage>Objectives & Reviews>Dashboard>Reviews 9 Box Grid.  

The dashboard shows you all scores from all 9 Box Grid reviews and you can see the talent pool within your organisation. You can still drill down this information further by clicking one of the boxes and seeing which employee’s sit in which box. From this list you can click an employee and be taken to the Review Overview that has provided the employee with their score.
