The StaffCircle suite of HRIS connectors enable you to move across people records from your existing systems making implementing StaffCircle even easier!
Before you get started
To make sure you hit the ground running, it's important to ensure the following things are in place:
- You can access the StaffCircle platform and have permission to view and administer the Integrations module.
- You can access your current HRIS and obtain the API key(s) you'll need during set-up.
Setting up and managing a connection
Step One: Accessing the connectors
1. To see the list of available connectors either go to Settings>Integrations>Available Connectors or use the Search Bar.
2. Once on the Available Connectors tab you can either scroll through the page or use the built in search to locate your HRIS provider.
Step Two: Making the connection
1. To set up the connection, click the relevant HRIS provider.
2. You'll get a pop-up to confirm your selection. To proceed click YES, INSTALL CONNECTOR.
3. Once confirmed a new pop-up will appear from the HRIS provider, asking you review and confirm the information that StaffCircle will be able to read.
4. Selecting Continue presents a third pop-up where you will need to input the API Key from your HRIS provider and then click Set up integration.
Note: the HRIS connector used in this guide is an example only. There are 34 available connectors and each may provide slightly different wording or steps. For support please speak to your Customer Success Manager.
Step Three: Managing your connection
1. Once the connection has been set-up your screen will refresh and you'll see your confirmed connection at the top of the list!
2. To access the connector click the cog icon in the top right hand of the connector box.
On the connector screen you'll be able to enable Auto Sync and Sync All settings, as well as disconnect and reconnect.
Auto Sync: People information is automatically synced to StaffCircle and will take place approximately every 3 hours.
Sync All: People in the person table will be automatically flagged as users that can be synced to StaffCircle.
3. Below the settings is a People table which will show all of the people that have been brought into StaffCircle from your HRIS provider.
A Fetch Data button will send a call to bring back any people data that may have changed between now and the last auto-sync.
The people table will then show the individual users that have been imported to the staging table including the key fields of information. Please be mindful that these users have not yet been synced to StaffCircle.
4. To sync users when you don't have Sync All enabled, select the individual rows and then select SYNC TO STAFFCIRCLE.
You can also select certain users to sync and keep others within the staging table by toggling on the SHOULD SYNC and then clicking SAVE 'SHOULD SYNC' SETTINGS.
Additional information
You can disconnect your HRIS provider and one of two things will happen:
- Any user that exists in the People table within the connector and has not been synced to StaffCircle, will be removed.
- Any user that has been synced to StaffCircle will remain as an active user in StaffCircle.
User passwords are not synced to StaffCircle for security purposes and therefore once your users have been synced, they will need to go through the forgotten password flow to access the StaffCircle platform.
All HRIS provider names have been stripped from images and replaced with "HRIS LOGO" or "HRIS", unless the image represents the list of available connectors.
