How to Change a User's Security Group
This article explains how to change a user's security group (for example, changing a Basic User to Manager) using the platform's administration settings.
Summary
- Steps to add or remove users from a security group (Managers or other groups).
- Where to find the Security and Data settings and required permissions.
- Troubleshooting steps if you cannot access the necessary settings.
Required permissions
- You must be a Superuser or an Administrator (full admin permissions) to access the Security and Data area and change security group membership. Users without full admin permissions will not see the Security and Data option.
Where to find the Security and Data settings
- Click the cog/settings icon located at the bottom of the main left-hand menu.
- Alternatively, if using the top ribbon settings, open Settings then use the left-side panel and select Security and Data.
Step-by-step: Change a user's security group
- Sign in with an account that has Superuser or Administrator (full admin) permissions.
- Open Settings:
- Click the cog icon at the bottom of the left-hand menu.
- Or click the Settings icon in the top ribbon and choose Security and Data from the left panel.
- In Security and Data, select the security group you want to modify (for example, Managers).
- Scroll to the "People in [Group]" section.
- Edit the group's members:
- Use the pencil icon or the Update button in the "People in [Group]" area to make changes.
- In some interfaces there may be a toggle labelled "people" or a "toggle people" button to enable adding users.
- Add or remove users as needed, then save your changes.
Locating Settings from the People area (alternate navigation)
- If you are in Manage mode on the People area, hover over the People section of the sidebar and navigate to Manage ➡️ People to view the people list.
- Open an individual’s record with the pencil icon beside their name to update person-specific information (useful for locating users to add to a group).
Troubleshooting
- If you do not see the cog icon or the Security and Data option, you do not have full admin permissions. Contact your systems or IT team to request the necessary access.
- If adding a user does not immediately reflect their new permissions, have the user sign out and sign back in.
Conclusion To change a user's security group you must access Security and Data from Settings (via the cog at the bottom-left or the top ribbon Settings), select the target group, edit the "People in [Group]" section using the pencil/update or toggle controls, and save your changes. Ensure you are signed in with full admin permissions; otherwise ask your systems team to grant the required access.
